Three copies, two kinds of storage, one off-site. How to apply the 3-2-1 backup rule to your POS, accounting and office files without a big budget.
Every business in Kenya runs on data: sales records, M-Pesa reconciliations, Tally company files, customer lists and contracts. Hard drives fail, laptops get stolen, ransomware encrypts shared folders and floods reach ground-floor offices. The question is not whether you will lose a device, but whether losing it will hurt.
The 3-2-1 rule is the simplest backup plan that actually works.
What 3-2-1 means
- 3 copies of your important data: the live copy plus two backups.
- 2 different kinds of storage, for example the office server plus an external drive or NAS.
- 1 copy off-site, in the cloud or physically away from the office.
If one copy dies, you still have two. If the office is broken into or burns, the off-site copy survives.
What to back up first
- Accounting data (TallyPrime, QuickBooks, Sage company folders).
- POS and sales databases, including receipts and stock.
- Shared office documents: contracts, HR files, quotations.
- Website and email: your site files, database and mailboxes.
- Phones used for business WhatsApp and M-Pesa records.
How often
Back up at least daily for business data. Busy POS and accounting systems may need hourly backups or real-time sync. Keep several days of versions so that if ransomware or a mistake corrupts today's files you can go back to yesterday.
Automate it
Manual backups are forgotten the week you are busiest. Use scheduled backup software on the server and PCs, automatic database dumps on your web server, and cloud sync for documents. Each job should email or message you if it fails.
Test a restore
A backup you have never restored is a hope, not a plan. Once a month, restore one file and one database to a test location and confirm it opens. Write down how long it took: that is how long your business would be down.
Protect backups from ransomware
Modern ransomware looks for backup drives and deletes them. Keep at least one copy offline or immutable: an external drive you unplug after the backup, or cloud storage with version history that cannot be overwritten from the office network.
